About the Role:

Our Executive Assistant will help ensure our operations are adaptable, resilient, and interconnected. You will maintain our Client Management System, manage the CEO’s calendar, assist with project coordination activities, and support communications, ensuring they resonate with our Earth-centered ethos. Your role in organizing workshops and events, including staffing vendor booths, is pivotal in fostering community partnerships. Key Responsibilities:

  • Ensure the CEO's calendar reflects a balance of business, personal well-being, and community engagement.

  • Schedule appointments and coordinate travel with responsiveness to emergent needs.

  • Advocate for the CEO's holistic well-being, assisting with personal errands and wellness routines.

Executive Assistance:

Communications and Outreach:

  • Foster resilient relationships with clients, vendors, and partners.

  • Prepare materials and spaces for meetings that encourage open dialogue and collective ideation.

  • Manage correspondence, ensuring our communications are reflective, adaptive, and inclusive.

  • Handle documents and data with utmost confidentiality, ensuring integrity and trust in our processes.

  • Support our Client Management System with a focus on relational engagement with clients.

  • Engage in continuous learning and research, contributing to our adaptive decision-making.

Data and Document Management and Confidentiality:

Project and Event Coordination:

  • Coordinate events and workshops that reflect our commitment to creating collaborative and resilient spaces.

  • Represent Dynamic Waters at events, fostering community and nurturing prospective relationships.

Required Qualifications

  • Demonstrate proficiency with web-based applications and tools that support collaborative processes and automate workflows.

  • Have a basic understanding of Excel/Google Sheets and Microsoft Suite.

This role is suited for someone who embodies the principles of Emergent Strategy – adaptability, interdependence, and a commitment to creating inclusive and resilient communities. You will thrive in this role if you:

  • Previous experience administering calendars and coordinating complex scheduling.

  • Familiarity with tools that support fast-paced and collaborative work environments, such as: Dubsado, Google Drive, Google Suite, Canva, Zoom.

  • Currently enrolled in a certificate or degree program studying business administration or construction management fields.

  • Advanced knowledge of Excel/Google Sheets functionality, including formulas and pivot charts would be a dream.

  • Experience with video editing and/or social media, also a huge plus.

  • Can quickly adapt to changing technology needs for a fast-growing business.

  • Can represent Dynamic Waters professionally and authentically, honoring our community's diversity.

  • Have reliable transportation to get to multiple locations within our service area across King and Pierce Counties.

  • Can lift 30lbs and walk on uneven surfaces.

Preferred Qualifications

  • Part-Time Hours: Work 25 to 30 hours per week depending on business need and seasonal demand. (Workload may be reduced to 10 hours per week during our slow season: Dec through Feb)

  • Salary: $20-$25 per hour, depending on experience. Mileage reimbursement for field work.
